Who we are
Smart Web Labs is a web design, performance marketing and AI automation agency at H/No. 4, B.R. Path, B/L 2, Beltola Tiniali, Guwahati – 781028, Assam, India. This policy covers smartweblabs.com and the messages you send us through it.
We decide why and how the personal data described here is used. That makes us its Data Fiduciary under India’s Digital Personal Data Protection Act, 2023, and its controller under the UK GDPR and the EU GDPR. For any question about this policy, write to contact@smartweblabs.com or call +91 94351 97596.
What we collect
Very little, and only when there’s a reason. The table lists everything this website gathers about a visitor.
| What | When | Why | How long |
|---|---|---|---|
| Your name, email address, phone or WhatsApp number (optional), the services you tick and your message | When you send the enquiry form | To reply to you | See how long we keep it |
| The page the form was on, any campaign tags in its address, the website that sent you (its address only), and how long the form was open | Sent with the form | To see which page or advert led to the enquiry, and to filter out automated spam | As long as the enquiry |
| A scrambled code made from your internet address | Each time the form is sent | To stop anyone flooding the form with messages | Deleted after a day |
| Server logs: internet address, page requested, date and time, and browser details | Every visit, recorded by our hosting company | To run the site and protect it from attacks | The period Hostinger’s own policy sets |
| Your choice on the “Reduce motion” switch | Only if you use the switch | To remember it on your next page | Stays in your browser until you clear it; never sent to us |
The scrambled code can’t be turned back into your address without a secret key held on our server, and the record of it disappears after a day.
What we don’t collect
The site sets no cookies and runs no analytics, advertising tags or tracking pixels. Its fonts, scripts and images all come from smartweblabs.com itself, so opening a page tells no other company that you visited. The one exception is the map on the Contact page, and only once you choose to show it.
If you message us on WhatsApp, call us or email us instead, we receive what you choose to send, along with your number or email address. We treat it the same way as an enquiry sent through the form.
How we use it
Only to reply to your enquiry and, if you decide to work with us, to prepare and manage that work. We don’t add you to a mailing list, we don’t sell or rent personal data, and no decision about you is made by automated means.
Under India’s DPDP Act, sending the form is your voluntary choice to share these details for one stated purpose: getting a reply. Under the UK and EU GDPR, we rely on taking steps at your request before a contract for enquiries, and on our legitimate interest in running a secure website for server logs and the spam check.
A project itself, including any of your customers’ data we handle for you, is covered by the written agreement for that work, not by this policy.
Who handles it
A few companies are involved in running the site or in the routes you choose to reach us. Each handles data under its own privacy policy.
- Hostinger hosts this website and the contact@smartweblabs.com mailbox where enquiries arrive, and keeps the server logs. Hostinger’s privacy policy
- WhatsApp, only if you choose to message us there. WhatsApp’s privacy policy
- Google Maps, only if you choose to show the map on the Contact page or follow a link to Google Maps. The map loads from Google only after you click “Show the live map”; from then on, Google receives your IP address and browser details and may set its own cookies. Google’s privacy policy
We share your data with no one else, unless the law requires it, for example a valid order from a court or a regulator.
Where it’s handled
Our team works in India, so enquiries are read and answered there. If you write to us from the UK or the European Union, your enquiry is therefore handled in India.
How long we keep it
- Enquiries stay in our mailbox while we’re talking to you, and no longer than two years after our last contact, unless they become part of a project.
- Project records such as proposals and invoices are kept for as long as tax and accounting law requires.
- The spam-check code made from your internet address is deleted after a day.
- Server logs are kept by Hostinger for the period its own policy sets.
You can ask us to delete an enquiry sooner, and we will, unless the law requires us to keep it.
Your rights
Wherever you are, you can ask us what we hold about you, have it corrected or brought up to date, and have it deleted. Write to contact@smartweblabs.com with “Privacy” in the subject line. We may ask you to confirm who you are first, and we’ll reply within one month.
In India
Under the DPDP Act you can get a summary of the personal data we process about you, ask for it to be corrected, completed, updated or erased, have a grievance answered by us, and nominate someone to use these rights if you die or can’t act yourself. If our answer to a grievance doesn’t settle it, you can complain to the Data Protection Board of India. The Act’s duties are being phased in under its Rules; we already follow them.
In the UK and the European Union
Under the GDPR you can also ask us to restrict how we use your data, object to uses based on our legitimate interests, and receive the data you gave us in a format you can take elsewhere. You can complain to the UK’s Information Commissioner’s Office or to your national data protection authority in the EU. We’d welcome the chance to put things right first.
Children
This website is meant for businesses and isn’t aimed at children; the DPDP Act treats anyone under 18 as a child. If a child has sent us personal data, a parent or guardian can ask us to delete it.
Security
Every page is served over HTTPS, and the site runs no third-party code, apart from Google’s map on the Contact page once you choose to show it. The enquiry form accepts plain text only, checks where each message comes from, asks a quick sum to keep automated spam out, and limits how many messages can be sent. Only the people who reply to enquiries can open the mailbox, and every account involved uses two-step sign-in.
No system connected to the internet is perfectly secure. If something went wrong with your data, we’d tell you, and the authorities where the law requires it, without delay.
Changes to this policy
If what the site collects changes, for example if analytics is ever added, this policy will be updated before the change goes live, and the date at the foot of the page will change with it. Analytics would load only after you agree to it.
